Overview

 

Create a new Email order.

 

 

 

 

Navigate to the page via the path Email (main nav item) > Send a New Email

 

 

Description

 

 

Summary

 

 

Name

 

A word or number used to identify the order in summaries and reports (not visible to message recipients).

 

Description

 

Type/paste any extra descriptive information which might be useful.

 

Subject

 

Type/paste email subject text. This will appear as the email subject when the message is delivered to recipient's inbox (maximum 150 characters).

Enter recipient's email address directly into this field.

 

Contacts, Lists & Groups

 

If you have already created contacts, lists, and groups, you can select them from the drop-down menu on the right side of the 'Address Information' screen.

 

Having selected one of these options (contacts, lists, or groups) the field immediately below the drop-down menu will be populated with the lists, contacts or groups that are available to you.

 

Use your left mouse button to highlight the list, contact or group that you wish to use. You can select multiple lists, contacts or groups by holding down the 'Ctrl' key while selecting. For an eMailer message you will most likely be using a list.

 

A 'Recipients' counter is located immediately above the ‘To’ field. This counter will adjust to reflect the number of recipients that have been entered or selected.

 

 

 

 

 

Message

Email Type

 

Choose which type of email you wish to send. You can choose to send either Plain Text, HTML or Content Feed emails.

 

 

Email Attachments

 

Add

 

Click to attach files (maximum attachment size: 760KB).

 

Remove

 

Click to remove files.

 

 

TEXT

 

 

 

 

 

 

HTML

 

For HTML messages, select the email type 'HTML'. This will display the HTML editor in the 'Message' field.

 

 

 

 

Email View : Using the swap view button, Users can switch views between standard GSMS, Email Client, Mobile, Tablet or Desktop views.

 

 

Column Title : Select the Column Title options to apply mail merge feature of the Column Header within the Email message. For further details on mail-merge refer to the topic here.

 

Note:

 

You can use mail merge in both 'Text' and 'HTML' emails.

 

Sample message template:

 

Hi {3}, {2}. Your email is {1}. It is $time $date now.

 

Sample MailMerged Output:

 

Hi Smith, John. Your email is john@johnsworld.com. It is 03:46 28-07-09 now.

CONTENT FEED

 

Content Feed allows you to set up a message that will be generated when your content feed has new content available. To use this facility, you must have the Content license enabled and there must be a feed and Email template set up in your Company Settings.

 

Select the Content Feed radio button and then select the feed you wish to be notified about.

 

 

 

 

 

 

 

 

Replies

 

 

Reply To Address Type

 

Email: Replies will be sent to the email address listed in the ‘Reply to Address’ field. Replies will still be available in your inbox.

 

Reply to Address

 

The 'Reply to' email address.

 

Display Name

 

Will be displayed in the email client as the 'From' name. Note: the display name presentation may vary depending on the receiving email client

 

 

 

Delivery Options

 

 

Delivery Frequency

 

Select your delivery frequency from the Delivery Frequency drop-down menu. The options are:

 

HOURLY, DAILY, WEEKLY, BI-WEEKLY (Fortnightly) or MONTHLY - Ongoing; message is sent on the same day/time each week.

 

IMMEDIATE - Message is sent immediately.

 

ONCE - Message is scheduled for sending at a single specified time/date in the future.

 

WEEKDAY - Sent only between Monday to Friday.

 

WEEKEND - Sent only on a Saturday or Sunday.

 

CONTENT_TRIGGER - For Content Feed emails only. The email will be sent when new content is available. More Information about Content Feeds.

 

Start Date

 

Click icon to select a date. Your message will be sent for the first time on this date, and recurring messages will be scheduled based on this date.

 

e.g. if 'Delivery Frequency' is 'MONTHLY' and 'Start Date' is '01/09/2012', the message will be delivered on the first day of each subsequent month (01/10/2012, 01/11/2012, 01/12/2012 etc).

 

Start Time

 

Type/paste the time when you would like the message to be sent. If your message is recurring, it will always be sent at this time of the day.

 

 

 

Once all required fields are complete:

 

 

Store changes and exit

 

 

If 'Delivery Frequency' is 'IMMEDIATE', this button launches the order.

 

 

If 'Delivery Frequency' is 'ONCE', or a recurring value (e.g. 'DAILY'), this button activates the order so that it will be sent at that time (and/or frequency).
